A. ARRIVALS

1. Walkins → Searching information on all clients. Locate Client by typing client last name and clicking locate. After client is located you can then:

a. Arrivals → Shows arrival status of all clients. May search departure by either Visit Number or Last Name.

a. Visit Info →  Once client has been highlighted. All visit information on client visits, Visit Details, Billables, Objects & Data, Pictures, Accounting.

b. Close Exit back to arrivals

b. Departs Takes you to the Departures screen. 

c. Appt Takes you to the Appointment Scheduler

d. Address Used to search clients by their address. Enter the address and then <Tab>. All clients with that address will be listed.

e. Phone Used to search clients my their phone number. Enter the telephone number and then <Tab>. All clients with that telephone number will be listed.

f. Pet Search by pet number. Type pet name and locate.

g. New To add a new client.

h. Modify You must first select a client. This will give you Clients & Animal window. Information about the client account number, name, address, home phone, employment place, and list of pets.

a. Delete Client- For deleting client. Only use if a client has been duplicated.

b. Modify Client- Client Information window any change to the client information can be done.

e. Report- highlight a pet click ok and you will get the Summary Report Generator window. You my then print any of the reports.

f. Delete Animal- Delete a pet. Use only if a duplicated pet.

g. Modify Animal- Select a pet and click. This will give you the Pet Modification window. Listing the Pet Name, Species, Breed, Color, DOB, Sex. There are eight tabs in the center of the window and four buttons at the bottom.

1. Delete Vaccination- Hightlight vaccination click delete vaccintion then select Yes or No

2. Add Vaccination- click add vaccination selecting Vaccination window click arrow and list at vaccination select vaccination and then length of vaccination then click ok

3. Delete Lab Test- hightlight lab test click delete lat test

4. Add Lab Test click add lab test Test Lookup window select test and click ok current date will appear in the run column this can be change by click date and enter new date.

5. Status- This is the status of the pet Alive, deceased, gave away, lost, and moved. It is best to us this than to delete pets.

f. By Date- Billing Letter by choicing a date range by select edit and change dates or selecting quarters or YTD or Month.

o. Sales Single- Give you Data Entry for Billables. For entry with only one pet.

p. Sales Mulit- Used for entry involving for then one pet. After click button select pet then Data Entry for Billables window.

q. Process Arrival- Select pet by double clicking on the pet or highlighting one pet and clicking Select One animal or Select All Animal. Then click OK.

e. Modify Pet- Choice a pet and you then get the Pet Modification window.

a. Add reminder- For adding a reminder to a client account anytime the client is access this reminder will appear.

r. Process Arrivals For processing a pet coming to the clinic for treatment. Select pet by double clicking on the pet or highlighting one pet and clicking Select One animal or Select All Animal. Then click OK. Arrival Summary window. Fill in Wt. Doctor, Assisting, and complaint. Click OK. Arrival Report will be printed

s. Close Returns to BWC

2. Appointments  Give you the Appointment Scheduler. From this window you can make appointment, check appointment, search clients, move to Arrivals, and move to Departs.

1. Hospital  Show the clients to be departed

a. Arrivals- Takes you to the Arrivals window

b. Appt- Takes you to the Appointment Scheduler window.

c. Deposit- For use when a pet is hospitalized or boarded and a deposit is required. Gives you the Payment On Account window.

d. Cage Card- Use for print cage card for hospitalize or boarded pets

e. Invoice-

f. Arr Rpt- Prints an Arrival Report for a pet already arrivaled

g. Call Back- To add a call back reminder for a select pet.

h. Billing- Give you Accounts Billing window.

i. History- Give you the Clinical History window.

j. Inv. Hist.- Give you the History By Invoice window.

k. Visit Details- Give you the Department window (The is usually the details entry by the Veterinarian using the VET ENTRY option.

l. Receipts Note- Adding note to client receipts. Give you the Invoice Comments window.

m. Quick Depart- Give you the Final Billings window. For use if Invoice has already been enter.

n. Process Pet- For use if client has only arrival one pet or only one pet is to be departed at one time. Give you the Data Entry for Billables window. You may enter in any space in white. Enter under Procedure, Drug Name or Stock. Question mark allows you to choose from the list for each category. For drugs enter Prescription Information window.

i. Add Code/Item- For Add a code/item number not already in the system

ii. Quick Sale- Allow you to do a quick sale for a pet not arrived. Click yes Animals window will appear select addition pet they OK Data Entry for Billables window. Fill in window and click Finish.

iii. Call Back Reminder- Adding call back reminder.

iv. Drug Labels- Printing drug labels Stock Labels- Printing stock labels

v. Home Instruction- Add home instruction to receipt.

vi. Edit- Editing

vii. Update- Will save invoice entry to be finish at a later time.

viii. Finish- Will give you the Final Billing window. Enter information in all white area.

1. Work By- Employee process invoice

a. Cash- For cash sale

b. Check- For check sale. You will be ask later for check number.

c. Charge Cards- You may specify which charge cards you take and list them separately. You will be ask later for card number.

d. Split- For use if payment is split between two or three methods. You will be asked the amount to be place in each method.

e. Account- For use is payment is on account.

3. Amount Tender- Amount given and enter.

4. Appt- Give you the Appointment Scheduler.

5. Quick Sale- Process a sale for another pet.

6. POA- Pay on account

7. Remove Credit- remove credit.

8. Billing- bill information

9. Discount/Gift Certs- For adding discounts or gift certificate. This button should be select before payment method. You may choice a Discount percentage. For a Dollar amount. Remember that is more that one pet is being department this amount will be deducted form each invoice. You may also select to be applied for Future Only, Apply Now Only, Apply Now & Future.

10. Home Instruction- For home instruction to be printed on invoice.

11. Edit- to edit

13. Back- To go back to Data Entry for Billables window to make changes or to add.

14. OK- Will complete transaction and not print a receipt.

15. OK receipt- Will complete transaction and print a receipt.

o. Process Client- Works the same as Process Pet, but for use is more that one pet has been arrived. Each pet will appear separately before Final bill window appears.

p. Close- Return to BWC window.

4. ANIMAL TRANSFER - TRANSFERRING A PET CAN ONLY BE DONE AT THE SERVER. THE PET TO BE TRANSFER CANNOT HAVE ANY OUTSTANDING BALANCES. b. Standard Estimates These are estimates that you have already given a description and Codes. These may be Updated or Edit at any time.

6. Prescription This is all prescription drug listed in inventory

Labels A label will be printed for this drug

Print Lists A complete print list of all drugs in inventory. Click yes for all data or No for three columns empty for documenting

7. Specialty Referral To list specialist click add Specialist then add that specialist information. This can then be printed or the client.

8. Lab Test

a. Alerts List all lab tests charge but not complete for each pet. When the test is complete click Modify test and insert the results and click yes for completed.

b. Complete Listing Listing all lab test charge and complete for each pet

9. Proformas List common Proformas done at the hospital.

Delete Item Delete Item not or no longer done.

x. Add Procedure- Add a procedure. You will be asked if weight/size depend. Ask for a code number. Then you fill in the Procedure Details.

f. Edit by Item- Highlight a procedure to edit

g. Close- Back to BWC window

b. Pharmacy- Give you the Pharmaceutical Inventory window

a. Delete Item- Highlight item and delete

b. Labels- This will be the Label print. Highlight drug then click. You must first select Label Format. Then you can choose for all Drugs or only Barcode drug.

c. Print List- This will print a list all-pharmaceutical. Good for posting list for price check or for doing inventory. You may print list will all data or with empty columns. You may select specify department, category, or entire list

d. Add A New Item- To add a new drug. You will get Input drug code. Then fill in:

i. Details- Fill in all white area

ii. Supplier- List supplier used

iii. Invoice Note- These are note that will appear on the invoice.

iv. Screen Note- These are notes that will appear on the screen.

v. Composition-

vi. Lots- List lots

vii. Instructions- Instruction these will be print on invoice. Fill in white area

e. View Item- View highlight item.

f. Close- Back to Bwc window

c. Stock- List all stock item

a. Labels- This will be the Label print. Highlight drug then click. You must first select Label Format. Then you can choose for all Stock or only Barcode Stock.

i. Process Inventory- This will process inventory to be order.

ii. Print Supplier List- Print a list of supplier

iii. Select Supplier- Will give you Purchase Order window.

2. Modify Order- Second highlight the order click Modify list of stock and pharmacy. Enter amount for each item you wish to order in white area. Then click of

5. Add New Order- First thing to do when process an order. You will be asking if you want access to all stock. Then you will be ask to enter a description

6. Process Order- Fourth you will be ask if this order number is the one you want to process. This will allow you to look at what you have order.

7. Process Receiving- Six to process an order once it has been received. You will be asking if this is the order number you wish to receive. Add in the amount of each item shipped, check cost click of.
